If your going to have a band, a DJ or other music at your event, why not have a dance floor for those who want to groove? Dance floors can be configured in different sizes to meet your needs. A dance floor for a wedding reception is a must, especially if live music is used. If your event is outdoors or in a place with carpet, consider renting a dance floor to make your event perfect.
When it's time to rent items for your event you usually have several companies to chose from. The company you pick to rent from should be a nice fit for the type of event you are renting for. If you are having a backyard get together and you are not worried about the appearance of the tables and chairs, you may go with the cheapest cost. However, if appearance is important, like at a wedding, then using a company that does weddings may be a better choice. Also, delivery and pickup times and cost should be considered. If the venue you're using closes at 10pm then you will need a company that can pickup at that time. Many larger companies have set rental hours. Anywhere from 4 to 8 hours, and they will charge extra for after hours delivery and pickup. Your smaller local companies are usually more flexible with the amount of rental hours and with delivery and pickup times. In general, it is best to start by contacting a local company. You may get the services you need at a price your comfortable with.
Without a doubt, the two best reasons to rent are:
1. you can have the use of an item at a fraction of the cost of that item.
2. when you rent you don't have to worry about storage space.
There are other good reasons to rent but these two top the list.
Generally speaking an item is rented for about 1/6 to 1/8 of its cost. So renting makes good economic sense. Also, large numbers of tables and chairs take up a lot of space. With renting this problem is solved.
If your event is small with just a few tables and chairs then setting up yourself is best. However, if you have rented a large number of tables and chairs, then having them set up for you may be worth the extra cost. The rental company will usually drop off items in one area and you will have to move them and set them up and then break them back down and move them again. If you have 100 or more chairs and 10 or more tables, this can become time consuming and tiresome. Another consideration may be how far the items must be moved. Is the event down by the lake or in a park? If so, then the tables and chairs will have to be moved a good distance and you may want to get help or pay the rental company for this service.
Renting items such as tables and chairs makes good economic and
storage space sense. You can rent tables and chairs for your event
much cheaper than you could purchase them. Tables especially can
be very expensive to purchase. If you only need them for occasional
use then renting is the way to go. Storage is another concern when
deciding between renting and buying. Tables and chairs can take up
a lot of space. So unless you have plenty of storage space and plan
on using the tables and chairs often, renting is the best option.
There are several chair types to choose from when considering your event seating. The two most popular types are the white plastic folding chair and the white resin padded folding chair. The white plastic folding chair is the most economical to rent and the easiest to move around. They weigh about 9 lbs each and can be stacked flat for moving. The white resin folding chair with it's padded seat is more attractive than the plastic folding chair. It is also heavier and sturdier and is often used for wedding events.
In the rental business there are numerous table options including
different sizes and shapes. Tables come in two basic shapes, round and rectangular. Most wedding use a combination of these two shapes. The most popular sizes for round tables are 48", 60", and 72" with the 60" being the most popular. The rectangular tables most often rented are the 72" and the 96" ones. These tables are usually 30" wide but also come in narrower versions. All of the tables are available with plywood or plastic tops.

For budget minded folks, and who's not now days, double duty for rented chairs is a good alternative. Instead of have a set of chairs for the ceremony and a set of chairs for the reception you could use
the same chairs for both. The only obstacle is moving the chairs from ceremony to reception. If the wedding and reception are in the same spot than it's easier. Just pull out the tables and rearrange the chairs. If the wedding and reception are in different places but close together you can ask quests to carry a chair from the wedding area to the reception area or have a group of people designated as 'chair movers'.
A common question for table and chair rental companies is how many people will fit at each table. This is important to know for proper event planning. Below is a chart showing how many people can sit at different types and sizes of rental tables.
6ft rectangular table - 3 on each side for a total of 6 (you can also put one on each end for a total of 8)
8ft rectangular table - 4 on each side for a total of 8 (you can also put one on each end for a total of 10)
48" round table - 6 people
60" round table - 8 people
72" round table - 10 people
